The RFP/Proposal Writer is responsible for managing all aspects of the proposal process by drafting proposals, maintaining proposal templates, and responding to Requests for Proposal (RFP) & Requests for Information (RFI) requests.

The starting salary range is based on your experience, education, and skills.

Purpose Of This Position

The RFP/Proposal Writer is responsible for managing all aspects of the proposal process by drafting proposals, maintaining proposal templates, and responding to Requests for Proposal (RFP) & Requests for Information (RFI) requests.

The RFP/Proposal writer will focus on writing proposals for RFPs that have been delegated to them by management. They will work with designers to write methodologies for standardized language, offer ideas for better processes, and provide insight for establishing better proposals in all aspects.


  • 2-3 years of experience with designing and implementing a process for proposal opportunity evaluation to delivery of proposal to tracking the result of bid. culture fit
  • 2-3 years of experience in proposal writing and proposal management, preferably in the cybersecurity or IT industry
  • 2-3 years of experience in Customer Relationship Management (CRM) tools, preferably with Salesforce
  • Bachelor’s degree in English, Communications, or Journalism preferred, or equivalent experience
  • Strong knowledge of Google Suite (Drive, Docs, Sheets, Forms) and Microsoft Office Suite (Word, Excel, PowerPoint)
  • Exceptional written and verbal communication skills
  • Ability to take ownership of the entire proposal process and ensure a compelling and consistent message
  • Advanced knowledge of digital word processing applications.
  • Ability to understand RFP requirements and ensure they are addressed in our proposals
  • Ability to work under pressure and meet deadlines.
  • High degree of flexibility with the ability to work in a small, fast-paced environment
  • Thorough and detail-oriented, organized, with excellent time management skills
  • Ability to quickly learn, understand, and evaluate current and new tools
  • Self-starter who can work independently with a proactive attitude

Physical Requirements

Duties & Responsibilities For Each Accountability

  • Manage the Proposal Process
  • Maintain sales proposals and quotes
    • Review current proposal templates and make improvements as necessary
    • Research and understand current & new service offerings
    • Edit language in current proposals as needed based on research and industry best practice
    • Create proposal templates for new service offerings
    • Ensure consistency across all proposal templates including but not limited to the company’s message, style/design, terms and conditions, etc
    • Lead regular, periodic reviews of proposal process with all members of the sales team
    • Execute responsibilities independently with oversight of process, writing product and content creation as needed
    • Develop concise, compelling, credible proposal narratives
    • Contribute to creation and maintenance of a content library
    • Collaborate with graphics designers to identify opportunities for clean, compelling graphics
  • Generate proposals/statements of work (SOWs) and quotes
    • Support marketing and sales effort with compelling content of proposal templates
    • Create proposals/SOWs and quotes for sales team members
    • Send and follow-up on proposals/SOWs and quotes as needed
    • Edit and create product IDs in quote system
    • Review current product IDs on a quarterly-basis to ensure consistency
  • Manage Request for Proposal (RFP) Process
  • Draft proposals in response to the request
    • Oversee multiple bidding sites and register for new sites as needed
    • Review new bids on a daily-basis and determine if the company should pursue based on our industry and capabilities
    • Coordinate with multiple departments such as Technical Advisory & Consulting, Marketing, and Sales to obtain necessary content for proposals
    • Produce clean, compelling proposal drafts, and perform QA to ensure effective, compliant responses that meet sales team and RFP requirements, often within short deadlines
    • Works on all aspects of the RFP, including but not limited to obtaining required insurance certificates, scheduling a notary, preparing and packaging proposals, for strategic or high-value sales opportunities
    • Create, manage, and maintain proposal delivery schedule
    • Utilize Salesforce CRM platform to manage and report on bid opportunities
    • Research proposal materials (RFP, RFI), client intelligence, competitive intelligence
    • Manage responsibilities for identifying proposal opportunities, qualifying, preparing concise, compelling government and commercial proposal writing that meets proposal requirements, supports ease of evaluation, and effectively conveys strategy and messaging themes
    • Develop solutions to a variety of complex problems. Understand implication of work and provides recommendations for solutions
    • Communicate on challenging or escalated issues
    • Exert some influence on the overall objectives and long-range goals of the organization
    • Complete understanding and application of principles, concepts, practices, and standards
    • May instruct, or coach other professionals
    • Participate in determining objectives of assignments
    • Interview technical experts and operation resources
    • Perform peer review and/or color team review editing assignments
    • Additional responsibilities include supporting the creation of a content library and editing, as needed.
